LEGALLY COMPLIANT DOCUMENTATION BY VIDEO IMAGE ON THE CONDITION OF RENTAL EQUIPMENT PRIOR TO AND AFTER USE
The client is a rental company for professional building machinery. Among other things, it offers: excavators, working platforms, mini cranes, forklifts, wheel loaders, garden equipment, mobile scaffolds, generators, telescopic handlers and many other high value tools and equipment used on construction sites.
THE CHALLANGE
The condition of the machines and the damage caused are documented in handwriting and photographs both before and after rent. However, there are often discussions and disagreements with customers regarding the return of goods, the damage and the causer.
These cases are often resolved in court. The costs for legal proceedings, spare parts and repairs are hefty, the trouble with customers is preprogrammed, the staff is time-bound by the enormous additional work, the relationship between service provider and customer is negatively affected.
THE REQUIREMENT
The client wishes a time-saving and most reliable automation of the image generation before and after rental.
In addition, an interface to the ordering system is to be developed to reduce the amount of administrative work and cumbersome transfer into different documents and other systems.
The image format shall be recognized as a proof in a court of law.

The machine condition is automatically documented and archived via video image BEFORE and AFTER the rental process. In order to be able to optimally record the rental machines, a test area is marked on the company premises. This area is equipped with highresolution cameras (4K) as well as LED headlights to enable a complete all around recording of the respective machine.
There is a bar code on the rental agreements to identify the corresponding rental machine. When this barcode is scanned, video recording is started, controlled via an interface between the customer‘s ERP system and the Geutebrück system. This is linked to the barcode data and stored.
Thanks to a feature developed especially for the customer in the video management software G-Core, a direct before/after comparison of the condition is possible after return and a new video documentation of the machine. Damages are recognised immediately and beyond doubt, can be presented directly to the tenant and are documented in a court of law.
